We make sure that you'll have all you need -Arrange ideal facilities for holding your conference -Get hold of the speakers you require -Check for relevant presentational audio/visual equipment & tele-communications -Organize local accomodation for employees/attendees -Sort out all the arrangements for catering & beverages -Put together relevant materials needed e.g. name tags, maps, conference literature -Be there as a key person on the day itself to provide any support needed -Make sure there are necessary travel arrangements -Provide details of local amenities for the times when meetings have finished -Together we will evaluate your business conference needs & formulate a plan of the specific details you wish to be carried out. Delegate Administration -receive, process and report upon bookings - ensuring a prompt response -arrange accommodation where necessary -issue confirmation notices to delegates, produce name tags and assemble delegate kits -bank and account for registration fees, either direct to the client's account or through the TMM account -provide credit card facilities -provide delegate name and address lists -we use "Events" software, a program specifically designed for the meetings industry Venue Research, Booking and Management -research and reserve venue(s) appropriate to the project -price and design catering requirements -negotiate accommodation -arrange all audio visual requirements, ensuring the availability of all the necessary technical equipment and its operation -design, produce and place all signage at venues -provide on-site registration and information services, as well as the necessary number of support staff -arrange for the supply of any necessary office support equipment, such as photocopiers, computers and fax machines Sponsorship and Exhibitions To add value, we will: -advise clients on generating optimum return on sponsor and exhibition opportunities against a defined budget -develop and implement plans for the promotion of sponsorship and exhibition opportunities -liaise with sponsors and exhibitors to ensure all commitments are fulfilled Marketing -research and identify suitable market and industrial sectors as potential delegates -design (in-house service), produce and dispatch all promotional mailings and media advertising -liaise with the media regarding general publicity and advertising and editorial space in professional journals Program Research and Development We will, in consultation with you: -research the chosen topic and develop program content - including identifying, selecting and inviting appropriate speakers -advise on program content to ensure an efficient flow of proceedings -monitor issues throughout and advise on the need for zany alterations to the program Financial Management To manage your investment, we will: -develop and monitor project budgets -report regularly on all financial matters -handle the GST |
